1. Who we are
This website is run by Wildmast Pty Ltd (ABN 51 053 494 009), trading as Cheqdin ("we", "us"). We run holiday and long-stay homes in Cairns, the Gold Coast and Sydney. Cheqdin is the new name for The Villas of Cairns; if you booked or enquired under that name, this policy covers your information too.
We choose to follow the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth) in the way we handle your personal information.
Privacy contact: hello@cheqdin.com.au.
2. What we collect
Only what we need to reply to you, take a booking and look after your stay.
- If you send an enquiry through this website: your name, email address, phone number, which stay you are asking about, your preferred dates and number of guests, and your message.
- If you join our email list or claim the first-stay offer: your email address.
- If you book direct: your name, email, phone number, number of guests, dates, any special requests, and payment details. These are entered on our booking page, which is run by Hostaway (see section 4).
- Vehicle registration, Saltwater Luxe only: we may ask for the registration (number plate) of your car, because the building's body corporate is introducing a number-plate security system for car park entry and exit. We do not ask for this at our other homes.
- If you book through Airbnb or Booking.com: we receive the details that platform shares with us, such as your name, contact details and booking dates. Their own privacy policies apply to what they collect.
- If you write or call us: whatever you tell us and our reply.
- Technical data: like most websites, our web host and the booking page may log your IP address, browser type and the pages you visit. See section 7.
- Journal comments: if you comment on a Journal article, your comment and display name are visible to other readers.
We do not knowingly collect sensitive information (for example health information). If you tell us about an accessibility need so we can host you well, we will use it only for that purpose. We do not use security cameras at any of our homes.
3. Why we collect it and how we use it
- To answer enquiries and take, confirm and manage bookings.
- To send you check-in details, arrival information and anything you need during your stay.
- To process payments and refunds, and to keep records the law requires, such as tax records.
- To keep our homes, guests and neighbours safe, and to deal with damage, complaints or disputes.
- To send our email updates and offers, only to people who signed up (section 6).
- To improve this website and the stays we offer.
We will not use your information for a different purpose unless you would reasonably expect it, you have agreed, or the law requires or allows it.
4. Who we share it with
We do not sell your personal information. We share it only with the services that help us run Cheqdin, and only what they need:
- Wix hosts this website and holds the contact details you send through our forms, including your email address when you join our list. Wix also sends our emails.
- Hostaway runs the booking page where you choose dates, enter guest details and pay. It stores your booking and sends booking confirmations.
- Stripe processes card payments made on the booking page. We never see or store your full card number.
- Cleaners see guest names and arrival and check-out dates, and nothing else about you.
- The Saltwater Luxe body corporate, or its car park security provider: if you give us a vehicle registration for Saltwater Luxe, we may pass it on, only so your car can be recognised at the car park entry and exit.
- Professional advisers such as accountants, lawyers and insurers, when needed.
- Authorities, such as police or a tax or consumer regulator, if the law requires or allows it.
5. Sending information overseas
Our providers (Wix, Hostaway and Stripe) may store or process information outside Australia, including in the United States. When you use our forms or booking page, your information can therefore be handled overseas. We choose providers with published privacy and security commitments, but we cannot control where their systems are.
6. Email updates and offers
If you join our list, or ask for our first-stay offer, we will email you the offer code and occasional Cheqdin news. We do this only with your consent, under the Spam Act 2003 (Cth). Every marketing email has an unsubscribe link, and you can also write to hello@cheqdin.com.au. We will stop promptly. We will still send essential booking messages for a stay you have booked.
7. Cookies, local storage and analytics
- This website: we use the cookies and similar technologies our site platform (Wix) needs for the site to work and stay secure. It keeps a small anonymous visitor token in your browser's local storage so features such as forms, comments and likes recognise you between pages. Our platform may also collect basic usage and performance statistics. Our own code on this site does not run advertising pixels, Google Analytics or similar trackers.
- First-stay offer pop-up: it remembers in your browser if you closed it, or signed up, so we do not keep showing it. This stays on your device and is not sent to us.
- Booking page (Hostaway) and payments: it uses its own cookies and tools, including Google Analytics and performance monitoring. Their policies apply to that page. Our booking calendar is also loaded from Hostaway's content network, which can see your IP address when it loads. Stripe may also set cookies on the payment form to prevent fraud.
- Third-party links: Airbnb, Booking.com, social media and any other site we link to have their own privacy practices.
You can block or clear cookies and local storage in your browser settings. Some features, like the booking page, may not work without them.
8. Keeping your information safe
We take reasonable steps to protect personal information from misuse, loss and unauthorised access: we use established providers and keep access to guest details to the people who need it. No online system is perfectly secure. If we ever have an eligible data breach, we will tell you and the Office of the Australian Information Commissioner (OAIC) as the law requires.
9. How long we keep it
We keep booking and payment records for seven years, because tax law requires it. We keep email-list contacts until you unsubscribe, and enquiries for as long as we need them to reply and follow up. When we no longer need information, we delete or de-identify it.
10. Seeing and correcting your information
You can ask to see the personal information we hold about you, and to correct it if it is wrong or out of date. Email hello@cheqdin.com.au. We will answer within 30 days. We may need to check who you are first, and in rare cases the law lets us refuse (we will tell you why). There is no charge for asking.
You can also ask us not to contact you, or to delete your details where we are not required to keep them.
11. Questions and complaints
If you think we have mishandled your information, write to us at hello@cheqdin.com.au with the details. We will reply within 30 days. If you are not happy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
12. Changes to this policy
We may update this policy as our business or the law changes. The date at the top shows the latest version.
